Terms & Conditions – World Diplomats (USA)

The information within this site is intended for general customers and may not be applicable to some geographical areas. World Diplomats will use reasonable endeavors to ensure that the contents of this site are accurate and up to date. However, World Diplomats reserves the right to change information at any time.


Eligibility & Registration

  1. To be eligible to attend a World Diplomats Conference, participants must be 13 or over at the time of registration.

  2. Please carefully check the accuracy of the information provided, including dietary or special access requirements. World Diplomats cannot be held responsible for errors.

  3. World Diplomats will not be responsible for any action taken by the U.S. government or other public authority, including denial of entry or clearance.

  4. Delegates are responsible for their own safety and security while in the host city. World Diplomats disclaims liability for loss, damage, or injury unless solely attributable to gross negligence or willful misconduct by World Diplomats.

  5. Participation requires adherence to all registration deadlines, whether as an individual delegate or as part of a delegation.

Registration Deadlines & Packages:

  • All registrations are conducted only through the official World Diplomats system.

  • Delegates must complete all required information, including council and country preferences.

  • Allocation is based on:

    • Council capacity

    • Availability of preferred countries/entities

  • Delegates may choose between Non-Accommodation, Accommodation, or Full Experience packages.

  • Registration categories include Early Bird, Regular, and Late. Each has its own fee structure.

  • No extensions on deadlines. Changes, if any, will be announced via official World Diplomats platforms.


Simulation Entity Allocation Policy

  • Allocation of countries, NGOs, or companies for simulation is managed via the official World Diplomats app.

  • Availability of preferred entities is not guaranteed.

  • If an entity has been chosen by another delegate, participants must select from remaining options.


Intellectual Property

All copyright, graphics, trademarks, design rights, and other intellectual property rights (including the “look and feel” of the website, software, and contents) belong to World Diplomats.

You may not:

  • Distribute, modify, or re-use any content without prior written permission.

  • Publish, print, or copy World Diplomats content for any external/commercial purpose.

Personal use: You may print one copy of any page(s) from the website for private reference only.


Visa Information

  • U.S. visas are generally valid from 30–90 days from issue.

  • Confirmed applicants needing visa support letters will receive one within 14 days of request, provided it is made at least 100 days before the conference.

  • Visa support letters strengthen applications but do not guarantee issuance.

  • Delegates are responsible for securing entry to the U.S. within the required timeframe. World Diplomats will not issue refunds for visa denials.

  • Assistance is available, but World Diplomats cannot influence U.S. government decisions.


Rebranding / Name Change

World Diplomats reserves the right to rename or rebrand any conference in the USA without prior notice. This does not affect the core objectives of the event.


Payments

  • All payments must be made through www.worlddiplomats.org.

  • Payments made to individuals claiming to be officials will not be acknowledged.

  • Accepted methods: Credit/Debit card and International Wire Transfer.


Refund Policy

  • All payments are non-refundable.

  • Delegates who have paid in full may request to transfer participation to another World Diplomats event or receive a credit voucher in accordance with the Credit Voucher & Transfer Policy.

Credit Voucher & Transfer Policy:

  • Valid only if full payment is received.

  • Requests must be made within 20 calendar days of payment or app invitation.

  • Later requests (at least 60 days before the event) may still be eligible for a credit voucher.

  • Partial payments (installments) are not eligible.

  • Cancellation fees apply depending on how close to the event the request is made (ranging from 30% to 100%).


Code of Conduct

  • All registration information must be truthful and accurate. False information will result in disqualification.

  • Plagiarism is prohibited.

  • Delegates must follow U.S. laws while attending.

  • Delegates are personally responsible for any damages caused at conference venues.

  • Misconduct, misuse of World Diplomats’ name, or criminal acts are solely the delegate’s liability.


Jurisdiction & Applicable Law

For payments processed in the United States of America:

  • The U.S. courts shall have exclusive jurisdiction over any disputes.

  • U.S. law applies to these terms and conditions.
